Outline
This project will support every Third Sector Interface to gather information on their local voluntary sector, and gather CRM (Customer Record Management) data – in turn supporting them to deliver effective services - and to gather the same information in every part of the country so that a consistent national profile of the voluntary sector locally is developed.

Managing Intelligence Question Sets
** Consultation Period extended to the 28th of May **
We received a positive response to the Managing Intelligence online survey that closed in January 2010, with this providing a significant amount of input from organisations on the range and types of data captured on your local third sector. Along with this came valuable contributions in terms of surveys, data collection forms and insight into both the successful and more problematic areas of data collection.
This input has now been examined and informed the development of draft Managing Intelligence Optional Question Sets on a range of areas, including:
• Customer Relationship Management
• Additional Profiling
• Equalities
• Social Economy & Social Enterprise
• Community Planning
• Volunteering
• Workforce Profiling & Development
• Non-Voluntary Sector Stakeholders
• Networks & Strategic Partnerships
These complement the Core Minimum Fields Question Set and will be added to with the development of additional Question Sets relating to other SVA products that are currently being developed:
• Common Customer Satisfaction Survey (SVA Quality Matters)
• Organisational Diagnostic Health Check & Skills Delivery Framework (SVA Developing Organisations)
As part of the ongoing consultation process for Managing Intelligence you are invited to provide comment on any of the Question Sets you have an interest in. Simply download the document, add comments or track changes and return to supportingvoluntaryaction@scvo.org.uk by Fri 28th May. For help in using the comments or track changes functions in the Microsoft Office Suite please visit the Microsoft Office Help Website.
If you require any assistance with this, have any questions or wish to discuss any of the Question Sets in more detail, please contact Mary Sinclair (Managing Intelligence Project Co-ordinator) on 0141 225 8004.

Coming Up… Group Interviews on the SVA Common ICT Platform & Managing Intelligence Database
In addition to the Database Report Requirements Workshop scheduled for the 2nd March, as part of the scoping exercise for these developments there will also be a series of Group Interviews taking place on the following dates:
• Thursday 4th March (2-4pm)
• Tuesday 9th March (2-4pm)
• Friday 12th March (2-4pm)
The Group Interviews will be independently facilitated and will provide potential users with the opportunity to contribute to the development of the Common ICT Platform and Managing Intelligence Database. They will also ensure that your organisation’s business requirements are taken into consideration in these SVA developments.
Venues will be arranged to best suit the signed up participants.
The Group Interviews are open to potential users of the Common ICT Platform and Managing Intelligence Database, including staff and volunteers from all Third Sector Interfaces and organisations working towards Interface Status.
Please email supportingvoluntaryaction@scvo.org.uk, indicating what dates you are interested in participating. Please note that places are limited and will be allocated on a first come first served basis, with only one place per organisation being available.

Tender Decision Update
Coming Up… Database Reporting Requirements Workshop (Tues 2nd March 2010)
The Managing Intelligence common database system is just one of the products being developed within the SVA programme.
A key part of scoping the database requirements is establishing the types of reports that potential users of the database system will require it to produce.
To enable us to establish user reporting needs, we are inviting potential users of the system to a Database Reporting Requirements Workshop on Tues 2nd March 2010 in Edinburgh (venue tbc).
The workshop sessions will provide participants with the opportunity to input to the development of the various types of reports. This will range from mailing lists to ad hoc reports.
This is open to staff and volunteers from all Third Sector Interfaces or organisations working towards Interface status.
It is anticipated that the final database system will be used by most staff within organisations, albeit for different purposes, so it is essential that a wide range of staff & volunteer roles are represented at the workshop sessions. We particularly encourage individuals in the following roles to participate:
- Administrative role
- Information, research or communication role
- ICT role
- Preparation of reports for funders
- Preparation of monitoring & evaluation reports
- Preparation of management reports
- Any other roles that you feel are relevant
Participants attending sessions will be recompensed for their time at a rate of £200 per day and for their travel expenses.

Database Tender Progress
The Managing Intelligence and Collaboration and Connectivity projects are in a very exciting phase of their development. The tender was due to be let in early December. There has been a really good response from a number of companies and in order to ensure that we get the best outcome have decided to extend the decision making time so that we can spend more time exploring our options with the potential deliverers. We will now be looking at making a final decision in late January.
Question Sets & Database Reporting
The Managing Intelligence Project is currently developing valuable resources that will support organisations to capture and manage information that will help them deliver and report on Third Sector Interface functions.
The development of a common database system is central to this. This short survey invites you to contribute to the development of the Managing Intelligence question sets and database reporting functions that will be crucial components of the database system. It should take no longer than 5 minutes to complete. Your input is greatly appreciated and helps ensure that the final Question Sets & reporting functions meet the requirements of the intended users of the system.

August 2009 -The minimum core data fields have now been agreed and are available for information. These will be accompanied by a range of optional additional datasets that will be developed in information areas ranging from organisation support needs to customer relationship management. This will contribute towards ensuring that basic and potentially more detailed data on your local voluntary sectors is captured in a consistent manner, along with other areas in Scotland. This will enable the production of accurate, up to date and importantly, credible information that will assist in supporting and representing the sector.
The Managing Intelligence Project is also working on several other developments that will contribute towards the introduction of a Common Approach, including:
- Common Approach: Outline & Guide to Capturing Data on Your Local Voluntary Sector (due to be available late 2009)
- A centralised database system that includes both the core data fields and the additional datasets (due to be available Spring 2010)
- Customised training sessions & additional support resources (due to be available Spring 2010)
Activities
A review has recently been undertaken by Rocket Science to assess what information CVS currently collect, how they collect it and how they store it.
A common approach to data collection will be developed to ensure that each CVS is gathering the same core data and maintains the quality of that data
A pilot will run with a range of different types of CVS to ensure potential challenges are discovered before they affect the network
The project will be rolled out to the Third Sector Interfaces along with the training and support needed to ensure that Interfaces are well placed to get value from the project.
Impact on CVS
CVS that have limited data collection and analysis capacity will be supported to build it in accordance with a network-wide approach
CVS that have good data collection and analysis capacity will be supported to engage in a network-wide approach that will add value to their current efforts
Information collected by CVS about the voluntary sector locally will have improved quality and consistency
Improved ability to compare information collected about the voluntary sector across different localities will enable more effective identification and articulation of voluntary sector needs
